1. Define handoff triggers

A handoff is needed when information is missing, the question is personal, there is a dispute or financial decision, or the system repeatedly misunderstands the visitor-not only when someone asks for a human.

Start with a short mandatory list and expand it from real conversations.

2. Collect only useful context

AI may ask for the topic, order number or preferred contact method when that information is actually necessary. Do not turn the chat into a long form before giving the first useful answer.

The operator should receive the full history, source page and current conversation status.

3. Explain the switch

Use a specific message: “I’m connecting a billing specialist. They will see this conversation.” This reduces uncertainty and sets an expectation.

4. Assign one owner
